Keeping my HubSpot data clean is a top priority, and Operations Hub makes it so much easier. Today, I want to walk you through the tools I use to tackle duplicates, fix inconsistencies, and keep my CRM organized.
Merging Duplicates & Standardizing Data
The first thing I do when cleaning up data is getting rid of duplicates and making sure everything is formatted consistently. Operations Hub has some great built-in tools that help with this.
Bulk Merge & Formatting Tools
From any CRM listing page, I can quickly access the bulk merge tool to find and combine duplicate records. Instead of spending time manually hunting down duplicates, I let OpsHub do the heavy lifting.
I also love the formatting tool, which lets me apply auto-format rules across all records. Whether it’s standardizing capitalization, phone numbers, or dates, this tool helps keep everything consistent without me having to edit each record one by one.
Automating Formatting with Workflows
Another tool I use is the Format Data action in Workflows. With this, I can:
- Set property formatting rules (like making sure phone numbers follow the same format)
- Apply custom formulas to clean up data
- Automate cleanups based on conditions I define
It’s like having an assistant constantly keeping my CRM data in check, so I don’t have to worry about it.
Advanced Cleanup with Custom Coded Actions
For more complex cleanup tasks, I turn to Custom Coded Actions. This tool lets me write scripts that automate advanced data fixes—like deduplicating contacts based on matching phone numbers or reformatting fields in bulk.
This has been a game-changer when dealing with messy imports or inconsistent data. Instead of fixing everything manually, I can set up a script and let it run in the background.
